Introduction
PsychologyAU (“we”, “us”, “our”) is committed to protecting your privacy and handling your personal and health information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and the obligations that apply to registered psychologists under the Psychology Board of Australia and AHPRA. This policy explains what information we collect, why we collect it, how we use and protect it, and your rights.
PsychologyAU provides telehealth psychology services to adults located in Australia.
The information we collect
Because we provide a health service, much of the information we hold is sensitive health information, which is given a higher level of protection under the Privacy Act. We may collect:
- Identifying information — your name, date of birth, address, email and phone number.
- Health information — the reasons you are seeking support, your history, session notes, assessments, and other clinical information relevant to your care.
- Referral and funding information — referrals, treatment plans, and the details needed to process your appointment and any applicable rebate, claim, or third-party or employer-funded arrangement.
- Booking and payment information — appointment details and payment information collected when you book online. Online bookings and client records are managed through our practice management platform, Zanda (formerly Power Diary), and online payments are processed through its secure payment provider. We do not store full card numbers ourselves.
- Website information — if you use our contact form we collect the details you provide. Like most websites, we use analytics (Google Analytics) that may collect anonymised usage information such as the pages you visit. You can limit this through your browser settings.
How we collect it
We collect information directly from you (when you book, complete forms, or attend sessions), and where relevant from third parties you have authorised, such as a referring GP or psychiatrist, an NDIS plan manager, an insurer, or a referring body or employer.
Why we collect and use it
We collect and use your information to:
- provide psychological assessment and treatment;
- manage your appointments, bookings and payments;
- process payments, rebates, claims and third-party or employer-funded referrals where applicable;
- communicate with you about your care (for example, appointment reminders and confirmations);
- meet our legal, professional and record-keeping obligations.
We will not use your information for any purpose other than the one for which it was provided, unless you consent or we are required or permitted by law.
Disclosure of your information
We treat your information as confidential and only disclose it where:
- you have given your consent (for example, to a referring GP as part of standard care, or to your NDIS plan manager for invoicing);
- it is required to process a rebate, claim, or third-party or employer-funded arrangement that you have asked us to use;
- it is necessary to lessen or prevent a serious threat to life, health or safety; or
- we are required or authorised by law to do so.
We do not sell your information.
Our practice software and data storage
We use Zanda (formerly Power Diary) as our practice management and records platform, and to process online bookings and payments. Zanda is widely used across Australian health practices and applies strong security measures, including:
- storage of Australian customer data in secure Australian data centres (Amazon Web Services, Sydney);
- ISO 27001 certification and alignment with the Australian Privacy Act;
- encryption of data both in transit and at rest; and
- regular encrypted backups.
Zanda does not sell patient data and will not disclose it except as required or permitted by law or with consent. Our website analytics provider (Google) may process anonymised website-usage data overseas; this is separate from your clinical records, which are held within Australia as described above.
Telehealth and security
Sessions are delivered via a secure telehealth platform. While we take reasonable steps to protect your privacy during online sessions, please also help protect your own privacy by attending from a private, quiet space where you will not be overheard. We hold your records securely and take reasonable steps to protect them from misuse, loss, and unauthorised access, modification or disclosure.
Access to and correction of your information
You have the right to request access to the personal and health information we hold about you, and to ask us to correct it if it is inaccurate, out of date or incomplete. To make a request, contact us using the details below. In limited circumstances we may need to decline access (for example, where providing it would pose a serious threat to someone’s safety), and we will explain why if that occurs.
Retention
We retain health records for the period required by law and our professional obligations. For adult clients this is generally a minimum of seven years from the date of last contact. For clients who were minors at the time of treatment, records are kept until the person reaches 25 years of age.

If you have a concern about how we have handled your information, please contact us first so we can try to resolve it. If you are not satisfied, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
